Major Functions of the Office of the Controller of Examinations
The Office of the Controller of Examinations (CoE) at Sharda University Agra is dedicated to ensuring integrity, transparency, and the smooth conduct of all examination-related activities. 1. Examination Planning and Scheduling
- Preparation and publication of academic and examination calendars.
- Timely scheduling of internal assessments, mid-semester, and end-semester examinations.
2. Conduct of Examinations
- Coordinating the smooth and secure conduct of all university examinations across disciplines.
- Appointment of invigilators and examination superintendents.
- Ensuring strict adherence to examination norms, regulations, and fair practices.
3. Question Paper Management
- Confidential collection, scrutiny, and printing of question papers.
- Secure distribution and handling of examination materials.
4. Evaluation and Result Processing
- Coordination of answer script evaluation with academic departments.
- Timely tabulation, moderation, and declaration of results.
- Generation and distribution of grade sheets, mark statements, and transcripts.
5. Academic Record Maintenance
- Maintenance of secure, accurate, and updated student academic records.
- Issuance of provisional certificates, consolidated mark sheets, and official transcripts.
6. Student Grievance Redressal
- Addressing student queries, revaluation requests, and grievances in accordance with university policies.
7. Examination Reforms and Automation
- Implementation of technology-enabled examination management systems (ERP, digital evaluation, etc.).
- Continuous enhancement of examination processes to improve efficiency, transparency, and student experience.
8. Compliance and Accreditation Support
- Ensuring compliance with UGC, AICTE, NAAC, NBA, NIRF, and other statutory/accreditation requirements.
- Providing examination data and reports for audits, rankings, and academic reviews.
9. Coordination with Schools and Departments
- Regular interaction with Deans, Heads of Departments, and faculty for academic regulation compliance.
- Facilitation of exam-related tasks such as OD approval, hall ticket generation, and backlog examinations.
10. Confidentiality and Security
- Ensuring high levels of confidentiality and data security in all examination-related operations.
